Litigation Legal Secretary - Medical Malpractice

Schedule: Full-time | Monday-Friday, 8:30 AM - 5:00 PM (30-minute lunch)
Compensation: $70,000-$80,000 annually (commensurate with experience)

We are seeking a highly skilled Litigation Legal Secretary with medical malpractice experience to join our team. Key Responsibilities
- Provide comprehensive litigation legal secretarial support to attorneys, paralegals, and administrative staff
- Identify deadlines; calendar and create document shells for pleadings, discovery, motions, depositions, and trial materials
- Assist with trial preparation, including organizing exhibits, preparing witness lists, and ensuring document readiness
- Prepare, format, proofread, and coordinate legal documents for filing and service in multiple jurisdictions in compliance with local court rules
- Research and apply local court rules and e-filing procedures
- Manage communications (email, text, conference calls) with attorneys, clients, courts, and opposing counsel
- Organize and maintain electronic and physical case files, ensuring accurate labeling and document storage
- Process new client/matter reports, time entries, and expense reports
- Schedule and coordinate travel, meetings, conferences, and appointments
- Manage and prioritize workflow across multiple attorneys and competing deadlines
- Provide coverage and support to attorneys, paralegals, summer associates, and visitors as needed
- Perform additional duties as assigned
Position Requirements
- Minimum of three (3) years of litigation legal secretarial experience
- Strong knowledge of legal terminology, court rules, and e-filing procedures
- Proficiency in Microsoft Word, Excel, and PowerPoint (ProLaw experience is a plus)
- Excellent understanding of legal calendaring and deadline tracking
- Experience managing heavy email volume and multiple attorney calendars
- Demonstrated experience drafting and filing pleadings, and drafting and serving discovery
- Trial preparation experience, including pre-trial deadlines
- Exceptional proofreading skills and high attention to detail
- Strong organizational, time management, and communication skills
- Ability to adapt quickly and respond to changing priorities
- Proven ability to build effective working relationships with attorneys, clients, and team members
- Reliable attendance with flexibility to work occasional overtime
